Club Award of the Club Energizing Program

Hi, fellow Toastmasters. This is Kishi, Program Quality Director of District 76.

I am pleased to inform the “Club award” of the “Club Energizing Program” which was suspended at DCM#1.

[7 points]: Digital Club Banner

We will provide the official digital banner that was renewed this year.

Please choose one from three types of designs. You can print a full-sized banner and use it for regular meetings, or online meeting background.

The cost of printing banners and purchasing banner stands are paid by each club, if necessary.

[9 points]

Considering the clubs meeting style such as online, in-person and hybrid type, we have prepared two types of awards (A & B) as below.

[Type A]: Banner & Stand

In addition to the above 3 types of designs, you can choose the stand type from these 3 types as below.

After purchasing a digital banner by district 76, we will provide a printed banner with a stand.

[Type B]: Web camera

We would like to provide a 360-degree type webcam for online or hybrid meetings. The item selected in district 76 is as follows.

360° All Around Webcam (Model: JVCU360)

If you already have a webcam or would like to change to a device other than above, you can choose a different webcam or audio device for club meetings for up to 20,000 yen. After we confirm the device you have selected, we will purchase it by District Account and send it to your club president.

It is not possible to select a device that exceeds 20,000 yen and bear the cost of the excess by taking out your club. Thank you for your understanding.

Please take this opportunity to earn 9 points to further energize your club.

Membership Renewals

It’s time for membership renewal for the next half year (April to September). Your cooperation for swift completion of the process would be highly appreciated. Please follow the guidance of your club’s Treasurer.

When a club pays the renewal dues for 8 members, the club fulfills the minimum requirement to remain in good standing as the registered club.

Club Treasurers: It would be a wise approach to split the payment into two installments: (1) when you have collected the dues for 8 members and (2) for the rest of the dues. The payments need to be completed by April 1st (US Mountain Standard Time). Please note that incompletion will result in the club to lose eligibility to participate in the speech contests and may affect the Pathways base camp access.

Club Energizing Program – Use It Effectively

Contests have begun in many Areas. We are looking forward to seeing many District 76 Toastmasters participating in the contests as contestants and members of the organizing team and having fun. Please also make good use of the “Club Energizing Program” for role assignments in the contest.

Any role in a speech contest assigned by the Contest Chair or Chief Judge will count as a point in the “Club Energizing Program“. Since we have four types of contests this year, many people will play a role in multiple contests. Please record the roles you have taken and get the prize!

Keeping track of the progress of the program in the club can also help motivate its members to participate. We also encourage you to create a progress chart and share it with your club members. Click HERE (please download) for a sample progress chart that you can use.

Club Energizing Program – Events

Goal #8 & 9 in the individual award of the “Club Energizing Program” requires us to earn 2 points in the category of “Event / PR”.

The chair who plans and directs the event will get 2 points (and achieve goals 8 and 9 at once), and the helpers of the event will get 1 point. You can get 2 points by helping two events.

The event can be anything for the purpose of energizing the club. Anyone can be the chair as long as it is agreed within the club. Let’s pick an event that is easy to execute and make it happen.

Experienced Toastmasters in your club should have a lot of experiences holding various events in the past. Forming a team and encouraging active participation for the event is part of the leadership project. Please make use of the wisdom of existing members.

I would like to introduce some examples of events here.

PR Campaign Example:

  • Post a new article every week on the club’s SNS for 8 weeks to attract guests. The chair asks for volunteers as authors in the club and makes the posting schedule. Set an appropriate length of the article, ask each volunteer to write about how they enjoy Toastmasters and the learning they get. Post them together with the photos of the club meetings. It would be also effective to have the club resolution to put out paid advertisements during the campaign period.

Membership Campaign Example:

  • Pick two club meetings in the near future and focus on guest solicitations. The chair plans the club meetings (open house) to make them easy for guests to understand. Club members invite their friends and colleagues at work who may benefit from Toastmasters activities to visit. Make sure to recognize the members who brought the guests (who get 1 point as campaign helpers).

Examples of special events:

  • Contest Speech Practice Session (Chair plans the event and asks for volunteers to provide feedback.)
  • Workshops (Organize opportunities for club members to participate in valuable workshops. Alternatively, provide opportunities for club members to practice their workshops.)
  • Mingling-time / Happy Hour (For clubs that don’t have regular time to interact with members and guests after an online meeting, it’s a good idea to organize it as a special event. The chair prepares some simple topics for three rounds of breakout sessions for this one-hour event.

There should be an endless number of ideas. Please try various events and earn points for the “Club Energizing Program“!
